Concert Cost Sheet (Budget Sheet)
Have you identified and are you familiar with all of your cost points in producing a concert or event? This Concert and Event Budget Sheet will help you with your budgeting. It's a comprehensive line item cost sheet that lists every type of expense you could expect in producing a concert or live event. Not only will it help you stick to your budget, it will help you create one. Identifying and understanding all of your price points in producing and promoting a concert or event is our "Non-Negotiable Success Tip #1".
Talent Offer Sheet
This Talent Offer Sheet contains the important elements that you'll need to provide a booking agency when you're ready to secure a band, musician or artist. This Talent Offer sheet includes Event Name, Date, Venue, Location, Seating Capacity of Venue, Promoter Name, Address, Website of Event, your marketing plan and when you'll begin to market the event. Be sure to fill it out as completely as possible, so the booking agency knows that you are properly prepared.
Sponsorship Proposals
If you're planning on securing sponsors for your concert, festival or event, you'll need professionally crafted proposals that have been drafted with all of the elements you'll need to provide sponsors. What are you offering them? What do they get in return for their financial contributions? And each
type of sponsor, be it Beverage Sponsors such as Energy Drinks, Liquor and Beer Sponsors, Food Vendors, they will all be different, respectively, in what they
need to receive in order to make it worth their participation. In-kind trades and sponsors are always worth consideration, as well!
Advance Your Show Sheet
This is your complete list of contacts and your Day of Show Schedule all in one. I've created this sheet to help you manage the production of your show. As the producer/presenter of the show, you need to have the contact information, including the names, cell phones and email addresses of everybody involved in the production of the show, including the tour manager, venue ops director, sound and light production companies, the catering company and more. All on one page, in one place so you're not having to look in several places for several people's contact information. Tour managers will send you (the promoter) their Advance Sheet with all of the band's pertinent information and they'll need you to send your Advance sheet containing the names and contacts of the Venue Ops. Director, the sound and lighting company, hotel and the ground transportation company and more. It's critical to have a well planned schedule set forth and to stay on top of it throughout your entire day. Load-In and Load-Out and everything in between. The advance sheet will allow you to structure your day of show effectively.
Artist Management Agreement
This is a 9-page contract. It establishes the relationship between a talent manager and a band or individual artist and sets forth the obligations, expectations and commitments of both parties, including such issues as the artist's offer to hire such manager and the acceptance of manager to represent such artist, agreed compensations, tours, recordings, engagements, promotions and more.
Concert Performance Agreement
This contract sets forth the terms between the Promoter, aka the Buyer (the person putting on the event) and the Artist to be performing at the event. Covers the important issues such as agreed date, time and place of event, length of event, agreed compensation, description of Artists performance. Once you start working with national touring acts that are represented by a booking agent, they would be providing the booking contract to you on behalf of artists. Until then, this form will serve well.
Engagement Agreement
While similar to a Concert Performance Agreement, I use an Engagement Agreement primarily for hiring a model or actor to host one of my events, or a celebrity type to appear at special events, conventions, trade shows, photo opps, meet and greets etc.
Artist Contract Rider
If you're an artist, agent or manager of an artist, you'll want to have hospitality and technical riders to append to your booking contracts. This sets forth the terms and conditions and complete description of what the promoter shall provide, such as travel, lodging, security, meals and dietary requirements, marketing of event, audio and technical needs.
